TOKENIZATION
TYPES OF TOKENS

A token is a unique string ID that references stored customer information or a customer’s stored payment information (such as a credit card or an echeck). Tokens provide customers convenient, secure access to their billing, shipping, and payment information, making the checkout process faster and easier. For merchants, tokens provide a convenient method of collecting scheduled recurring payments.

Paymethod tokens reference the following stored information within a permanent token (for recurring transactions) or a one-time-use token (for credit card transactions only):

Token Sharing
OPTIONS

METHOD 1: Across Locations

Merchants who have multiple Locations within their Account can use Cross-Location token sharing to share customer and payment information across each of their Locations.  With Cross-Location token sharing, any member can walk into any Location of the merchant and have the exact same customer experience.

METHOD 2: Across Child Account

Companies that operate a marketplace or act as an aggregator may share their stored customer and payment information with a multitude of sellers who are set up with their own processing Merchant Account. In this scenario, Forte sets up a partner with a Partner Account and all of the partner’s sub-merchants are set up immediately below the partner within a hierarchy as “child” Merchant Accounts.

Merchants can perform four different types of credit card transactions from the Transactions Datagrid. Additionally, merchants can choose to save the customer data from a transaction or perform a one-off transaction without saving customer data.

FUNDING

The Funding Datagrid enables users with the appropriate permissions to view the funding entries of an organization’s locations. By default, Dex displays the funding entries for the previous thirty days, but you can filter the displayed results by Effective DateBank Account NumberAmountFunding Source and/or Funding Status.

REPORTS

The self serve reporting module allows merchants to generate reporting on transaction and funding activities for a given time frame.  Merchants with the appropriate permissions can also export transactions to a .csv file that can then be stored on a local computer or imported into an accounting application for processing.

F.A.Q

Does your solution require a gateway? If not, what are the ways to connect directly to your solution? Would a third party gateway support your solution? If so, what gateways are supported?

Forte is a 100% wholly-owned subsidiary of CSG International which provides a single payment gateway platform for every payment channel. Our services include scope reducing payment applications and simple APIs, making it effortless for merchants and third party vendors to integrate to our platform and services.

 

Who creates the NACHA debit and credit files (Provider or FNBO)?

Forte generates the NACHA file and sends transaction requests to our partner ODFIs.

Provide information about the bank account token creation and vaulting that will be available. Is this different for tenant incoming (tenant paying PM) vs. outgoing (PM paying out owners or vendors)?

There are 2 types of Customer tokens within the Forte environment: Paymethod, and Address Tokens. Tokens are vaulted within Forte’s system but can be delivered back to a calling application for storage and future use. As a paymethod token is defined by a unique payment credential, these tokens would be unique to each card or ACH product tendered.

 

Do you support a single transaction from the tenant (rent + fee) with a split on the backend for rent to deposit in PM's BA and fee to deposit in FNBO's BA? Provide details of how this would work -- # of instruction sets, timing, what steps are manual vs. automated.

Identified as a split-fund transaction, Forte does support the single transaction model with service fee. For split funded setups, our Implementation team would need to pre-define splits to go to different bank accounts. For split-funding to function properly each location will be required to have a unique Merchant Organization with APPF as the Reseller ISO ID, operating as parent organization

 

Who is responsibile for underwriting the PM - FNBO or provider? What happens if the PM is denied by one but not the other?

Forte is flexible, either Appfolio can manage the underwriting process or if preferred, Forte can assume responsibility.

Is the Provider able to provide any external facing documentation supporting Provider annual security and compliance audits and processes?

Yes, we can provide a copy of our PCI AOC.

Current MID Structure: Some Property Managers utilize multiple MIDs / LIDS (bank account ref); our goal is to level set against your recommended structure.

While we believe that the optimal approach for APPF is to be setup as a Reseller Partner with submerchant organizations, we invite further discussion to determine the best hierarchy setup.

What support and requirements exist for compliance of NACHA rules?

Our Risk team is always eager to provide education to any merchant or partner. Nacha requires that merchants maintain proof of authorization (POA) and if they originate web transaction, Nacha may require an annual audit and have a commercially reasonable fraud detection solution. Forte frequently provides merchant education related to the card brands and Nacha requirement via newsletters and other communications.

 

FNBO currently offers Property Managers the following payment options. Please advise your support of the following. We are interested in enterprise offerings for payouts(payables):virtual- cards- push to card (vendor payables), private label cards for payables, paper checks, security deposit returns. Rent payments: digitalization of cash payments (rent). Lastly, we are interested in new ideas for both receivables and payables.

Forte is actively pursuing a partnership with PayVus to enable Payouts to Card.

PayVus, a revolutionary, end-to-end SMB business credit card issuing platform, combines merchant acquiring and issuing to deliver exceptional value through a modern approach to merchant services. Powered by Aliaswire, PayVus offers faster funding, daily settlements of funds between card and bank account and works seamlessly with existing payment processing operations.

As a bundled business solution, PayVus combines card acceptance technology with a Business credit card for receiving all or partial payment acceptance funds to the card in a much speedier fashion when compared to traditional ACH or Federal Wire transfers. The business functions of the PayVus card enables a line of credit in the businesses name with no personal guaranty to fast track purchasing power for continual investment, to grow your business.

Please provide description of sub-merchant creation, processing, and implementation, with recommended format and support.

While all implementation cycles vary to a degree there is a common approach that Forte takes in onboarding and implementing merchants on our platform whether integrating to our REST API or using one of our scope reducing payment applications such as Forte Checkout or Billpay. A sample overview of this process is below:

* Project Kickoff – Forte will condiuct a project kick-ff meeting with key personnel to identify and discuss payment processing goals and requirements. Prior to the meeting your sales executive will forward documentation that will help focus our discussions and ensure that CSG Forte captures all pertinent data.

* Project Implementation – Following the Project Kick-off the Sales Executive will assemble the project team to include your enrollment specialist and project manager to review the project requireents with the team to ensure that needs are addressed and to develop the execution strategy. Additionally, the Sales Exectutive will assign project implementation responsibilities for each of the team members.

* Quality Assurance – The Profect team wilil begin preliminary testing of the payment systems to ensure that they are operating properly and the desired functionality is built. Once the preliminary testing has been completed, Forte’s development team will resolve any issues with the systems functionality in preparation for final testing. Additionally, we will confirm that all required functionality has been included with the solution.

* Testing – A final series of tests will be performed prior to the formal launch of the payment systems. CSG Forte will work to select a beta test group to execute mulitiple test transactions to ensure all payment systems are functioning properly. this will also include the testing of payment file delivery if applicable. CSG Forte will provide a script of transactions the beta test group should perform to ensure all payment systems meet the requirements.

* Formal Launch – Prior to launching the payment systems, your Implementation, Relationship Manager, or Sales Executive will conduct training to include administering the systems, troubleshooting issues, assisting with payments, and creating and retrieving reports. Once training is complete and Forte confirms that expectations have been met, we will formally launch the payment site.

 

Would we expect KYC (inclusive of sanctions screening checks) during implementation? If so, please describe.

For merchants, we utilize automated validation tools for the onboarding process. Additional information or documentation may be required if validation checks fail. KYC checks fit within Forte’s standard compliance review which are conducted prior to enrollment and implementation.

Ideally, our PMs are provided options for funding from T+1 to T+5. What are the levers your provide for shortening funding timeframes?

Forte can extend next day funding if PM end of day activity completes by 7pm CT

 

Provide more information about the inputs and outputs for new customer enrollment. What is automated vs. manual?

If an application meets the minimum automated checks set in the Forte System then it is sent to enrollment through the auto approval process. If it doesn’t meet those minimum checks it is then sent to be reviewed by underwriting. For manual underwriting, merchants would submit paper application and supporting documents including bank statements and a copy of driver’s license for our underwriting team.

What level of support will Provider offer FNBO (dedicated support team, account manager, technical support)? Will this be available during off hours as well?

CSG Forte will assign a Project Manager to support APPF’s portfolio. Additionally, our team of experts provides training through a virtual environment which includes an in-depth walkthrough of the tools that we provide and are used on a daily basis by our partners and merchants. As needed, we can provide videos and online documentation to assist with training and we are dedicated to providing ongoing resources and assistance throughout our relationship.

The Relationship Manager will assist with account monitoring and customer goal attainment, act as a customer advocate, provide feedback to product and operation teams to improve the customer experience. The RM will complete quarterly business reviews at the organization level and will recommend solutions to help meet processing expectations. Additionally, our Customer Support teams are available to provide account-level support to merchant locations from platform training, day to day phone and email inquiries, as well as technical support. The internal teams work together to resolve customer requests while the RM monitors the overall health of the relationship. Lastly, operational performance support is available 24×7 to ensure customer needs are met quickly and effectively.

 

What alert systems and notifications exist for downtime, maintenance, system issues, etc?

A file can fail tranmission for a number of reasons, the most common are: incorrect file name, payment/client token mismatch, duplicate file, including other discrepancies within the file. CSG Forte handles transmission errors by identifying the problem with the file, formulating an email detailing the discrepancy, emailing the merchant, and following up with a phone call if we haven’t received a response by the cutoff time.

If Forte is experiencing an issue with a processor or bank, we will notify APPF of the service interruption immediately. Upon enrollment on to our system, Forte registers the applicable individuals or groups to our status update page.

Are NACHA thresholds for returns monitored by Provider? What type of notification would be sent to FNBO

Yes, our Risk team monitors thresholds internally and notifies merchants as necessary. Risk completes a full review on a merchant if they are near or reached the allowable returns ratios.

Provide information about Provider's AML monitoring.

CSG Forte identifies potentially suspicious activity by evaluating information brought forward by internal and external sources, such as; transaction monitoring alerts, employee referrals, law enforcement inquiries (e.g., subpoenas) and other referrals, including those made by external partners (e.g., banks and credit card associations). Transaction monitoring alerts are investigated and a suspicious activity report is filed when applicable.

Will FNBO have access to Provider's NACHA Rules audit reports?

Nacha rules audit occurs annually. Forte provide the audit report upon request.
